Help & Guide
New here? This guide will help you find your crew, browse the shop, view the schedule, and manage your account.
Getting Started
Create an account
Head to Create Account and fill in your name, email, password, and select your crew. You must choose a crew to register.
Wait for your crew assignment to be confirmed
After registering you'll be given the other role until a coordinator or admin confirms your crew membership and sets your crew role. Until then, only public shop items are visible and the crew schedule is not accessible.
Log in and explore
Once your account is active, you can browse the crews directory, view your crew's shift schedule, access the shop, and manage your profile from the Account page.
Finding Your Crew
The Crews directory lists all registered crews. You can search by name or filter by camp location.
Each crew has a public page showing its name, camp location, and a brief description. Once you're a confirmed member, you'll also see the list of crew members and a link to the crew's shift schedule.
Your assigned crew appears in your Account Settings under Crew Membership, along with your role within that crew.
Crew Schedule
Your crew's shift schedule is available from the Schedule link in the top navigation, or directly from your crew's page. The calendar shows all upcoming shifts and lets you sign up for positions.

Day view
Full shift detail: positions, assigned members, sign-up buttons, hours logging, and extra hours.
Signing up for a position
- Navigate to the day of the shift using the calendar.
- Switch to Day view to see all positions for that shift.
- Click Join next to the position you want. Your name appears immediately.
- Click Leave to remove yourself — a confirmation prompt appears before the change is applied. You cannot modify sign-ups on past shifts.
Admins, editors, coordinators, leaders, and shift leads can also remove other members from a position using the × button next to their name.
Logging your hours from the schedule
When you are signed up to a position or are a shift lead, an Hours Worked input appears on the shift card in Day view. Enter the hours you worked and click Save — your total updates automatically.
An Extra Hours section at the bottom of every Day view lets you log hours for that day that are not linked to a specific shift — useful for setup, teardown, or other non-meal work.
Your personal schedule — showing only shifts you are assigned to — is available at My Schedule in your account.
Your Hours
Hours can be logged two ways: you can enter them yourself directly from the crew schedule, or your crew coordinator can log them via the admin panel. Either way, your totals update automatically and appear in your account.
Shift hours (from schedule)
In Day view, when you are assigned to a position or are a shift lead, an Hours Worked input appears on the shift card. Save your hours there.
Extra hours (from schedule)
The Extra Hours section at the bottom of any Day view lets you log hours for that day that aren't tied to a specific shift — setup, teardown, or other tasks.

The Shop
The Shop shows products available to you. What you see depends on your crew membership:
Crew member
Sees all public items plus products specific to your crew.
No crew / other role
Sees public items only. Crew-specific products are hidden until you have an active crew role.
Crew-specific items are marked with a badge in the shop grid. To checkout you'll need a saved address — add one in Addresses.
Your Account
From Account Settings you can update your name, nickname, email, and profile photo. Click your avatar photo to upload a new one.
Your Crew Membership card shows which crew you're assigned to, your camp location, and your role within the crew.
The Hours Worked card shows your volunteer hours totals by year. Click Full hours history to see a detailed breakdown, or View crew schedule to go straight to the shift calendar.
Account navigation
Coordinator: Crew Members
If you are a crew coordinator, a Crew Members link appears in your account navigation. It lists all members of your crew with their name, nickname, phone, and role. Click Edit next to any member to update their name, nickname, phone number, or crew role directly from the public site — no admin panel needed.
Crew roles explained
Common Questions
I registered but can't see crew shop items.
Your crew role hasn't been set yet. Contact your coordinator or a site admin to confirm your membership. Once your role is updated to coordinator, leader, or member, crew items will appear.
I can't see the Schedule link in the navigation.
The schedule is only accessible to confirmed crew members (coordinator, leader, or member role). If you have the "other" role, contact your coordinator to have your role set.
I signed up for a shift position but my name disappeared.
Your coordinator or an admin may have removed you, or you may have clicked Leave by accident. Check with your coordinator if you believe there was an error.
My hours aren't showing up in my account.
Hours are logged by your crew coordinator. If you worked a shift but don't see it, contact your coordinator and ask them to add a time entry for the date.
I forgot my password.
Use the Forgot Password link on the login page. A reset link will be sent to your registered email address.
My crew doesn't appear in the directory.
Crews are created by site admins. If your crew is missing, ask your coordinator or an admin to add it.
Can I change which crew I'm assigned to?
Crew changes must be made by an admin. Contact your coordinator or a site admin and they can move you to the correct crew.
How do I update my profile photo?
Go to Account Settings and click your profile picture (or the circle icon) to upload a new photo. Supported formats: JPG, PNG, WebP.
I'm a coordinator — how do I edit a crew member's details?
Go to Account and click the Crew Members link in your navigation. You'll see all members of your crew. Click Edit next to any member to update their name, nickname, phone number, or crew role. You cannot edit your own profile from this page — use Account Settings for that.
I don't see an option to change my password in account settings.
Password changes via the account page are restricted to certain roles. Use the Forgot Password flow on the login page to reset your password by email.
